What the Desk Handles, and What the Vessel Handles
The division of labor on a charter is worth understanding, because it explains why an experienced desk changes the trip. The vessel and its crew are responsible for everything on the water: navigation, safety, cooking, cabin service, tenders. The desk is responsible for everything that connects the water to the land: matching you to the right boat in the first place, structuring the route, moving paperwork through the harbor office, sourcing what the galley needs, and getting you from the airport to the gangway without friction.

Itinerary Design
Every itinerary we build starts from three fixed constraints: the tide tables, the opening hours of the ranger stations inside Komodo National Park, and the per-person entry permits the park requires against your passenger manifest. Around those constraints we fit your priorities, whether that means Padar at first light before the day boats arrive, manta timing at Karang Makassar when the current favors it, or a slow afternoon at an anchorage with nobody else in sight.
Because park entry is tied to registered permits and manifests, a private itinerary has to be planned rather than improvised. We hold the sequencing conversation with you before the trip, confirm park paperwork through the operator, and build one flexible block into each day so the captain can react to weather without losing a headline stop. Provisioning and Galley Coordination
Standard provisioning on Labuan Bajo boats is competent but generic. What a service desk adds is specificity. At booking we collect a short galley brief: dietary requirements, allergies, halal or vegetarian needs, children’s meals, coffee preferences, and anything you want on board that the town does not reliably stock.
That last point matters more than people expect. Labuan Bajo has excellent fish, fruit, and vegetables, and limited everything else. Specific wines, champagne, particular spirits, proper cheese, or a celebration cake to a certain standard usually need to be arranged from Bali with lead time. Crew Briefing and Onboard Service
The crew belong to the vessel, not to us, and that is exactly why briefing matters. Ahead of boarding we send the crew a guest profile: names, the occasion, swim confidence, ages of any children, language notes, and service preferences such as meal times or quiet hours. Where an English-speaking guide or cruise director is available for your dates, we arrange it and confirm it in writing rather than assuming.
This is unglamorous work with a visible result. A crew that knows it is your anniversary on the second night, that one guest does not swim, and that you would rather have breakfast at eight than seven delivers a different trip from a crew that meets you cold at the gangway.
Permits, Harbor Clearance, and Park Fees
No boat leaves Labuan Bajo harbor without a sailing permit, the SPB, issued through the harbormaster’s office, KSOP, against a passenger manifest. Inside the park, entrance fees, activity fees, and ranger fees for dragon trekking are charged per person and must line up with that manifest. None of this is difficult when it is done early and correctly. All of it can delay a departure when it is not.
Our role here is coordination: we collect passport details in advance, make sure the manifest, permits, and park fee payments agree with each other, and confirm clearance before your arrival day. Airport Pickup and Ground Transfers
Komodo Airport sits about ten minutes from the harbor, and the transfer is simple to do well and easy to do badly. We coordinate a named driver at arrivals, luggage moved directly to the tender or the vessel’s agent, and boarding timed so you are not standing on a dock in midday heat. Guests arriving a day early get hotel pickup on departure morning instead. On the return leg we time disembarkation against your flight, with a buffer that reflects how the harbor actually behaves rather than how the schedule says it should.
Special Requests
Some requests come up often enough that we have a standing process for them:
- Proposal and celebration setups on deck or at a beach stop, arranged with the crew in advance
- Photographers or videographers sourced locally and added to the manifest

- Extended routes beyond the core park, subject to vessel range and permits
The honest version of this service is also knowing what Labuan Bajo cannot do. Drone rules inside the national park are restrictive, some beach setups depend on tide and ranger permission, and last-minute sourcing from Bali has hard cutoffs. We would rather tell you no early than improvise something disappointing on the day.

Do you own the yachts you charter?
No. We are a charter desk: we curate, book, and coordinate, while the vessels are owned and operated by their own companies and crews. We think this position works in your favor. Because we are not selling our own boat, we can match you to the vessel that actually fits your group, and decline the ones that do not.
Are permits and park fees included in the charter price?
They are usually itemized separately from the vessel price, because they are charged per person by the park and harbor authorities. What we guarantee is that every fee appears in writing before you confirm, and that permits are secured before your arrival, not on the morning of departure.
Can you cater for allergies and dietary restrictions?
Yes, and this is one of the most common briefs we handle. Halal, vegetarian, vegan, and common allergies are straightforward for most galleys once briefed in advance. Severe allergies get a direct three-way conversation between us, you, and the vessel before booking, so the galley’s real capabilities are on the table from the start.
What happens if weather changes the route?
The captain has final authority on safety, always. Our itineraries carry a flexible block each day precisely so a weather call reorders the route instead of deleting your priority stops. How far ahead should we book for the full service to be in place?
For high season, roughly April to September, we suggest securing the vessel two to four months out; the service layer of provisioning, permits, and transfers comes together comfortably in the final month.
